Job Summary
The Sales Administrator – APAC provides operational and administrative support to the APAC Sales team throughout the bidding, contracting, project payment, and customer service processes.
The role coordinates closely with Sales, Project Managers, Finance, Legal, HR, and other internal teams to ensure that bidding dossiers, contracts, personnel CVs, receivables, and
payment documentation are completed accurately and on schedule.
Key Responsibilities
● Coordinate with Sales, Project Managers, and relevant departments to prepare, review, and track bidding dossiers, proposals, contracts, and other supporting documents.
● Prepare and standardize personnel CVs, company profiles, experience records, forms, and supporting documents required for bidding submissions.
● Maintain bidding checklists, document versions, submission deadlines, approval status, and filing records.
● Support the review and negotiation of commercial contracts; coordinate with relevant stakeholders to consolidate feedback and complete internal approval and signing procedures.
● Work with Project Managers, Sales, Finance, and customers to monitor accounts receivable, payment milestones, acceptance documents, invoices, and other required payment procedures.
● Proactively follow up on outstanding documents and payments to ensure timely collection.
● Maintain an understanding of bidding procedures, applicable bidding laws, and relevant regulations; update the team on documentation and compliance requirements.
● Support Sales in customer communication, meeting coordination, follow-ups, documentation, and account care activities.
● Prepare periodic reports on bidding progress, contract status, receivables, and pending actions.
● Provide other operational and administrative support to the APAC Sales team as required.
Requirements
● Bachelor’s degree in Business Administration, Economics, Finance, Law, Commerce, or a related field.
● At least 2 years of experience in Sales Administration, Sales Operations, bidding support, contract administration, project administration, or a similar role.
● Practical knowledge of bidding procedures, bidding documentation, and relevant regulations is strongly preferred.
● Experience in preparing bidding dossiers, contracts, personnel CVs, payment documents, or acceptance records is an advantage.
● Good skills in Microsoft Word, Excel, and PowerPoint; able to prepare and format professional business documents.
● Strong organizational, follow-up, and cross-functional coordination skills.
● Detail-oriented and able to manage multiple deadlines and documentation requirements simultaneously.
● Proactive, resourceful, responsible, and able to work independently.
● Good written and spoken English is preferred; ability to review and prepare English documents is an advantage.
● Strong communication and customer service skills.
